Astbury Formentera S.L – Booking Terms and Conditions
1. Reservations
All bookings are subject to acceptance of the following Terms and Conditions.
Confirmation of a reservation with Astbury Formentera S.L is subject to availability at the time that the deposit payment is received.
It cannot be assumed that a reservation is confirmed or dates held until the deposit payment has been completed.
No booking can be regarded as confirmed until the required payment is received, and until the confirmation documentation is sent by Astbury Formentera.
A Booking Form will be taken as acceptance of the Terms and Conditions on behalf of all party members.
Receipt of payment by credit card, bank transfer or any other payment arrangement constitutes acceptance of our Terms and Conditions.
It is your responsibility to check all your booking details on your confirmation documentation carefully and notify us immediately if these are not correct.
The person making the booking must be 18 years of age or over and in the event that all members of the party travelling are under 18 it is necessary to seek prior acceptance of the booking from Astbury Formentera.
We reserve the right to alter prices, but the cost of your accommodation will be confirmed at the time of booking.
2. Your Booking Security
Unless otherwise notified, your accommodation is contracted by Astbury Formentera S.L directly with the owners or local agents.
3. Insurance
It is strongly recommended that you arrange a suitable holiday insurance policy at the time of booking.
The policy should offer cancellation, curtailment, and medical cover, including 24-hour emergency repatriation service.
Astbury Formentera do not sell Holiday Insurance.
4. Payment
Normally a payment of 50% of the accommodation cost is required on booking.
The balance payment is due at least 7 days in advance of your arrival date.
These conditions may vary depending on the portal that you have chosen to use to make your booking.
Your payment schedule will be displayed on your Booking Confirmation and / or with the booking platform that you have chosen to make your booking.
In the case of a discrepancy between the payment schedule shown on your Booking Confirmation and the payment schedule on the portal, it can be assumed that the portal conditions supersede all others.
If your arrival date is within one week of booking, you must normally pay in full by card.
If the total value of your accommodation booking is less than 500 € you must normally pay the full amount at the time of booking.
Please note: we do not accept cash payments of over 1.000 €.
There are no card charges for travellers that are E.U residents.
We reserve the right to charge at 2% on card payments to travellers that are not E.U. residents.
For American Express cards this is 4%.
5. If You Wish to Alter a Booking
We will do our best to help you alter a booking.
An administration fee of 50 € may be levied for each alteration made which will be notified to you at the time of alteration.
6. If We Wish to Alter a Booking
Every effort is made to maintain arrangements as confirmed, but changes may occur for reasons that are totally beyond our control.
We reserve the right to substitute alternative accommodation of the same or superior standard should this become unavoidable.
Occasionally it may only be possible to offer alternatives of a lower standard in which case compensation may be offered.
You have the choice of accepting the change and any compensation offered or cancelling the booking and receiving a full refund in respect of accommodation without incurring any cancellation charges.
Astbury Formentera reserve the right cancel your booking at any stage offering a full refund.
We do not accept liability for any consequential losses relating to travel or other services provided by other suppliers.
7. Cancellation
If a booking or part thereof is cancelled, we must receive written advice.
The cancellation cost may vary depending on which portal has been used to confirm the booking.
Your cancellation costs schedule will be displayed on your Booking Confirmation and / or with the booking platform that you have chosen to make your booking.
In the case of a discrepancy between the payment schedule shown on your Booking Confirmation and the payment schedule on the portal, it can be assumed that the portal conditions supersede those displayed on the Booking Confirmation.
It may be possible to make a claim under an insurance policy arranged as in Booking Condition 3 above, subject to the terms of the policy.
8. Special Requirements
We will endeavour wherever possible to meet any requests made in writing, but no guarantee can be given.
If a special request can only be met at additional cost, you will be either invoiced for the amount prior to departure or advised of the procedure for payment in Formentera.
9. Car Hire
We act only as introductory agents and shall not be held liable for any loss, damage or injury howsoever caused.
The contract is with the hire company operator whose terms and conditions are detailed on the contract signed on collection of the vehicle.
If a car rental company is used, other than our recommended company, Formotor, we are unable to help in any way with the collection, delivering or any problems which may arise during the rental period.
10. Accommodation
The accommodation is reserved exclusively for the persons named or numbered on the Booking Confirmation.
Unauthorised occupancy can lead to the whole party being forced to leave the accommodation immediately.
In these circumstances re-accommodation is at the additional expense of the client.
The various local communities expect certain standards of behaviour and clients are requested to observe them. We reserve the right to terminate without compensation the holiday tenancy of any client(s) whose behaviour is causing annoyance or damage to property or persons whether employees, other clients or apartment owners.
11. Health conditions or impairments
We do not specialise in holidays for people with health conditions or impairments, but we are happy to provide an opinion about the suitability of accommodation and give general advice.
12. Problems and Complaints
In the rare event of a problem or complaint, this should be brought to the immediate notice of our office team in Formentera.
This gives us the opportunity to resolve any problems as quickly as possible and minimise any inconvenience.
It also enables us to monitor our service and accommodation standards to identify and avoid possible future problems.
Should a problem persist, or it is felt necessary to pursue the matter further, then it is essential that full details are notified to us in writing.
In the unusual event of a problem remaining unresolved after your holiday, and providing that the correct procedures have been followed, full details together with a written complaint should be received at our company address or by email not later than 28 days after your departure date from the island.
We will make the necessary enquiries and, whenever possible, respond fully within 28 days.

The company does not accept any liability where our complaint procedures have not been observed or full written details are not received within the 28-day period.
13. Disputes and Limits of Our Liability
In the event of any dispute concerning standards of accommodation or services provided by employees of Astbury Formentera S.L, our liability shall not exceed 150% of the cost of the accommodation and/or services provided. (Personal injury and death excluded). We accept no liability for consequential losses relating to travel or other arrangements made with other parties.
Please note that if any part of these booking conditions is found to be invalid or unenforceable, then all disputes will be governed by Spanish Law and are subject to the exclusive jurisdiction of the Spanish Courts.
14. Check in and check out times
Your accommodation is normally reserved for you from 15:00 on your arrival day.
You must normally leave your accommodation no later than 10am (this can be later in some properties), unless this is otherwise pre-agreed with our Reservation Team.

15. Quality of Accommodation
Our properties are selected after careful inspection and are contracted by us directly with the owners or local agents.
We check all our properties regularly and ensure that they are maintained to these high standards.
Cleaning service intervals vary depending on which property you are staying in.
Cleaners carry out general cleaning, which normally includes sweeping floors, dusting, cleaning bathrooms, and replacing towels and linen.
They do not wash dishes. Hand towels, bath towels and linen are supplied. Beach towels can be supplied when requested in advance which may incur a small charge.
16. Damage and Breakages
Clients are responsible for the costs of rectifying any damage or deficiency arising from their occupancy.
It is important therefore, that any damage or deficiency noted on arrival is brought to the attention of our local office as soon as possible.
17. Safety Standards
The standards of safety and hygiene applied are those regulated by the host country and the monitoring and enforcement of local regulations is the responsibility of overseas authorities and suppliers. It is important that clients take all reasonable precautions to protect themselves whilst abroad. Clients are strongly advised to locate fire exits, check the depth of swimming pools and satisfy themselves of the suitability of items such as high chairs and cots before use.
18. Building Works & Development
Although building work and development is minimal on the Island during the season, normal life continues which may include the noise and inconvenience of traffic, building or road works. Where we are aware of any such work that could seriously affect the enjoyment of a holiday, we will notify this as soon as possible. However, this is extremely rare, as building work on much of the island is curtailed in the holiday season by law.
19. Our Local Office
The team in our local office is available to advise and assist on request. They will be available throughout your stay to provide you with general island information and to help offer advice with any situations that arise during your holiday where you may require assistance. Their name, telephone number, and office hours are shown in the travel documentation and in many cases on notice boards in or near the accommodation.
In the event of any difficulty contacting our office, we have an emergency contact number which will be provided on your pre-arrival information.
20. Local Tax
Eco Tax: The Balearic Islands Government, which has jurisdiction over Formentera, has Eco Tax legislation which is to be paid by every visitor to any of the Balearic Islands. This tax is to improve the facilities and infrastructure of the islands for visitors and to assist with sustainability projects designed to protect the islands for future generations.
The tax is payable on a per person per night basis for each adult and child over the age of 16.
21. WIFI in Astbury Formentera properties - an important note:
It is important that you understand the situation with regards to the provision of WIFI for internet access in any property rented from Astbury Formentera for your holiday.
We do not charge for the use of WIFI, it is not added into the accommodation price and is provided free by Astbury Formentera.
However, WIFI in Formentera is not always reliable and can be supplied over an old system which does not always use Fibre Optic connections. Due to the pressure on it during the season, is liable to disruption or slow speeds of download.
WIFI in Formentera should not be relied upon for work purposes, especially where large files are involved, to participate in virtual video meetings, or to watch or download films.
We recommend that you pre-load your devices with entertainment content and arrange a suitable roaming internet plan with your network provider before your holiday.
Astbury Formentera accept no liability, whatsoever, for any downtime of internet connections caused by the failure of, or lack of speed of any WIFI router installed in or on any of our properties.
